  • Overview

    The Project Coordinator is an enthusiastic, highly collaborative, self-starter responsible for the intake, planning, assignment, and monitoring of creative marketing projects from start to finish through verbal & written communication and a project management software. They collaborate with project stakeholders to confirm project requirements, plan project timelines and communicate updates throughout the project lifecycle. Keeping all stakeholders involved on task, they ensure the smooth operation of the creative marketing campaigns for multiple departments to achieve results.


    • Analyze, prioritize, track, manage, plan and maintain schedules of multiple projects with multiple stakeholders across multiple departments
    • Accountable for incoming creative project requests by estimating timelines, assessing content, confirming project requirements, FDA requirements, and deadlines
    • Prepare all creative asset files for projects
    • Pro-actively communicate updates to project stakeholders on job specs or timelines
    • Understanding of project workflows and scheduling using a project management software
    • Take accountability of project management software by creating and updating software workflows and project schedules, manage users and account permissions and provide training and support to software users
    • Identify process improvements to creative project workflows and work to implement them into project workflows
    • Work closely with Creative Director on assignment and prioritization of projects for creative team members
    • Work closely with Vendor Manager on coordination of files for printing
    • Perform intake and maintenance of global and local creative assets and provide graphic files upon request to external parties
    • Generate monthly project metrics reports from project management software
    • Ensure proper archiving and filing of project files and FDA audit trail documents
    May perform miscellaneous tasks/projects as directed by manager.


    • A Bachelor’s Degree is preferred, or minimum 5 years equivalent jobs experience
    • Extremely detail-oriented with strong organizational skills
    • Be a team player that can effectively collaborate and communicate diplomatically using strong written and verbal communication skills
    • Must possess excellent interpersonal, communication, organizational skills and ability to enjoy and thrive in a fast paced, high volume environment
    • Proven experience managing multiple projects with multiple stakeholders
    • Experience operating a project management software
    • Strong skills in learning and operating software
    • Knowledge of Microsoft Word, PowerPoint, Excel & Adobe Acrobat DC
    • Understanding of printing processes and digital media requirements
    • Experience with creative and/or marketing department operations
    • Graphic design experience or software programming experience a plus
